Paperly: Invoice Order Printer helps Shopify merchants print invoices, packing slips, credit notes and quotes as PDF files from their orders and draft orders, with their own business details, layout and numbering.
Paperly: Invoice Order Printer is operated by StoreFleet ("we", "us"). We are responsible for the data the app's server and our support service process, as described below. For any question or request about this policy or your data, email [email protected].
Your interface language, business details (name, address, phone, email, website, tax ID, company number, logo link and bank details), document templates and print settings are stored in your own Shopify store as app-owned metafields on your shop.
The app's server stores your shop domain, shop name, granted access scopes, install and uninstall dates and an encrypted access token, so it can keep your installation working. It also stores your automatic invoice settings and the next number of your invoice and credit note series.
Issued invoices and credit notes. Invoices and credit notes are issued on the app's server and stored there exactly as issued, because tax law requires an issued invoice to stay unchanged and available, and so you can download the same file again, email it and export it for your accountant. For each document the server stores the PDF file, the e-invoice XML (Factur-X) when one is made, and a copy of the details printed on it: your business details, the buyer's name, company, VAT number, billing and shipping address, email and phone as printed, the line items, prices, taxes and totals. To show it in the archive and link it to the right customer, it also stores the document number and date, the order and refund ID, the order name, the Shopify customer ID, the order's email address, net, tax and total amounts, the buyer's country and a log of the emails sent with it (recipient, date and result). Stored documents cannot be edited.
When Shopify sends a privacy request about one of your customers, the server logs that the request arrived, with the customer and order IDs it names but without the customer's name, email or phone.
To print documents, the app reads your orders, including orders placed more than 60 days ago, and your draft orders (line items, product images, prices, discounts, shipping, taxes, refunds, fulfillments and payment terms) and the customer's name, company, VAT number and tax exemption, billing and shipping address, email and phone number. The customer details are printed on the documents because invoices and packing slips must name the buyer and the delivery address.
Editing buyer details. If you use Edit details and grant the app permission to edit orders, draft orders and customers, the changes you make (the buyer's name, company, VAT number, addresses, email, phone, PO number and order note) are saved directly to your Shopify store from your browser. The app's server does not receive or keep them; invoices and credit notes already issued are not changed.
Packing slips and quotes are created inside your browser while you use the app; they are saved to your device or opened in a new tab for printing, and the app does not keep copies. Invoices and credit notes are created on the app's server, which reads the order from Shopify when you print it or, if you turned on automatic invoices, when Shopify tells the app that an order was paid, fulfilled or refunded. With the Pro plan, if you turned it on, the server also reads the order when Shopify tells the app that an order was cancelled or edited, to issue a credit note reversing its invoice and, for an edited order, a new invoice. The server keeps the issued document as described above and nothing else from the order. Your logo and product images are downloaded from the links in your settings and in Shopify.
Emails to your customers. When you email a document, or turn on automatic emails, the app sends the PDF to the order's email address from our own mail server, which we operate ourselves. The email shows your store name, comes from the app's address and lists your store email for replies. With the Pro plan you can turn on payment reminders: the app then checks in Shopify whether an invoiced order with a due date is still unpaid and emails the order's email address a reminder with the invoice attached, at most three times, and stores only when each reminder was sent. You can also enter the SMTP settings of your own mail server; the app stores the server, port, username, sender address and the password encrypted, never shows the password again, sends your document emails through that server and deletes these settings when you remove them or your shop's data is erased.
VAT number check. If you turn on the Pro VIES check, the app sends the buyer's VAT number and country to the European Commission's VIES service before an invoice or credit note applies a VAT exemption, and stores the result (valid, invalid or unavailable) with the document.
Customer downloads. If you turn on customer downloads and add the app block to your order status page, a customer who is signed in to their customer account can see and download the invoices and credit notes issued for their own orders. The app checks the customer's identity with the session token Shopify gives it and uses short-lived signed download links.
The in-app support chat is run by our support service, StoreFleet Support Hub. When you use it, the app sends the service your messages, your shop domain and shop name, your Shopify plan, the app's granted scopes and install date, and the name, email address, language and role (owner, staff or collaborator) of the staff member who is chatting, as provided by Shopify. The support service stores the conversation, linked to your shop domain, so our team can answer you. If you send us a photo or PDF of your current invoice so we can build a matching template, it is used only to build that template and is deleted afterwards; the app records only that a template was built for your shop.
Each time the app is installed or uninstalled, and the first time you print a document, the app sends a notice to our support service, StoreFleet Support Hub, which we operate. The notice contains your shop domain and shop name, whether the shop is a development store, the shop owner's email address (or the shop's contact email when the owner's is empty) and the shop's primary language.
We use the email address and language only to send you service emails about the app: a welcome, setup help, tips, questions about your satisfaction and feedback, a request to review the app, and a short note after you uninstall it. Development stores are never emailed. You can opt out at any time with the unsubscribe link in any of these emails or by writing to [email protected].
Your customers' data. For the order and customer data in documents, emails to your customers and customer downloads, you (the merchant) decide why and how it is used, and we process it on your behalf and on your instructions through the app. You are responsible for informing your customers and for your own legal basis, such as performing your contract with the buyer and your tax and bookkeeping obligations.
Merchant and staff data. For your shop details, installation record, support conversations and service emails, we decide how the data is used. We rely on these legal bases:
The app does not sell any data. To answer support chat messages, the support service mirrors them, with your shop domain and shop name, to our support team's Slack workspace (Slack Technologies) and may use an AI model provider (Anthropic) to draft replies. Service emails and the documents you email to your customers are sent from our own mail server, which we operate ourselves, or from your own mail server if you set one up. The buyer's VAT number is sent to the European Commission's VIES service when you turn on the VIES check. Nothing else is shared with third parties.
Slack Technologies and Anthropic may process the data we share with them in countries other than yours, including the United States. This means support messages, shop details, the contact details used for service emails and the documents emailed to your customers may leave the European Economic Area, the United Kingdom or Vietnam. Where the law requires it, these transfers are covered by the safeguards in each provider's data processing terms, such as the European Commission's standard contractual clauses and, for the United Kingdom, the UK addendum to them. Contact us at the address above if you want more information about these transfers or a copy of the safeguards.
The app handles Shopify's three mandatory privacy webhooks:
Your installation record, the privacy requests logged for your customers and your support conversations are kept while the app is installed. They are deleted when Shopify sends the shop erasure request after you uninstall, as described below. We keep only a record that your shop's erasure request arrived.
Each issued invoice and credit note is kept until 31 December of the tenth year after the year it was issued, then deleted automatically, unless your shop's data is erased earlier. Ten years is at least as long as the invoice retention period of most EU countries; your own obligation may differ, so check with your accountant.
When you uninstall the app, Shopify revokes its access, the installation is marked as uninstalled and the stored access token is discarded. 48 hours later Shopify asks the app to erase your shop's data. The server then asks the support service to delete your shop's support conversations, deletes the privacy requests it logged for your customers, deletes every invoice and credit note it stored for your shop, your automatic invoice settings, number series, email log and the record of templates we built for you, and deletes your installation record. Before you uninstall, use "Export month for accountant" in the Archive to keep a copy of every month you need. It keeps only a record that your shop's erasure request arrived. Copies of support messages already posted to Slack are not deleted automatically; ask us through the contact below to remove them.
Uninstalling does not necessarily remove the app data stored in your store's metafields; it may stay in your store until it is removed, and the app cannot reach it once uninstalled. To remove your business details, clear them in Settings before uninstalling; if you have already uninstalled, reinstall the app to do this. Your interface language, templates and document settings contain no customer details and stay in your store; contact us if you want help removing them.
Merchants and their staff can ask us to access, correct or delete the personal data we hold about them, to restrict how we use it, to receive it in a portable format, or to object to processing based on our legitimate interests, including service emails, by writing to [email protected]. Depending on where you live, you may also have the right to complain to your data protection authority. Your customers should send privacy requests to your store; Shopify forwards them to the app as described above.
Questions about this policy or requests about your data can be sent to [email protected]. Once the app is listed, you can also use the support contact on the app's Shopify App Store listing.
